Automated Inventory Replenishment System

This project is a fully automated inventory replenishment system designed to eliminate manual stock monitoring and supplier coordination. The solution ensures optimal inventory levels by identifying fast-selling SKUs, evaluating current stock positions, and triggering timely reorders through a structured approval workflow.

The system integrates Amazon MWS and Borderless APIs to consolidate sales and inventory data. It applies predefined business logic to calculate reorder quantities and automates communication with inventory managers and manufacturers via email and Slack.

By leveraging n8n as the workflow automation engine, the solution reduces operational overhead, minimizes stockout risks, prevents overstocking, and improves order fulfillment efficiency.

Our key contributions included:

Workflow Architecture Design

Designed a scalable n8n workflow triggered on a weekly schedule to automate inventory monitoring and replenishment decisions.

API Integrations

Integrated Amazon MWS to fetch weekly sales and inventory data.

Integrated Borderless API to retrieve real-time stock levels.

Business Logic Implementation

Implemented custom reorder calculation logic based on:

• Weekly sales velocity
• Predefined SKU thresholds
• Current available inventory
• Vendor mappings

Master Data Structuring

Configured SKU threshold data, vendor mappings, manager contact details, and Slack/email configurations using Google Sheets or internal database.

Automated Communication Flow

• Generated dynamic reorder summary emails.
• Sent reorder sheets to inventory managers for validation.
• Triggered Slack notifications for faster review.
• Automated final manufacturer email dispatch upon approval.

Approval Workflow Automation

Built a controlled approval mechanism ensuring no order is sent without managerial validation.

Deployment & Documentation

Deployed the workflow in a production environment and provided structured documentation for maintenance and future scalability.
